9.2 Monitoring, measurement, analysis and evaluation
Objective: | result to be achieved |
Target: | detailed performance requirement, applicable to the organization, that arises from the objectives (3.6) and that needs to be set and met in order to achieve those objectives Note 1 to entry: Targets may apply to an organization's activities, products or services. They may also apply to events (3.8) in whole or in part. |
Objective: | result to be achieved Note 1 to entry: An objective can be strategic, tactical, or operational.Note 4 to entry: In the context of event sustainability management systems standards, event sustainability objectives are set by the organization, consistent with the event sustainability policy, to achieve specific results. |
Event Management Cycle: | stages and activities of an event (3.8) (including products and services involved), from research, conception and planning through to implementation, review and post-event activities |
Performance: | measurable result Note 1 to entry: Performance can relate either to quantitative or qualitative findings. Note 2 to entry: Performance can relate to the management of activities, processes (3.27), products (including services), systems or organizations (3.1). |
Monitoring: | determining the status of a system, a process (3.27) or an activity |
Measurement: | process (3.27) to determine a value Note 1 to entry: For the purposes of this International Standard, “value” may be taken to mean numerical or ethical values. |
Non-Conformity: | non-fulfilment of a requirement (3.26) |
Corrective Action: | action to eliminate the cause of a nonconformity (3.39) and to prevent recurrence Note 1 to entry: In the case of other undesirable outcomes, action is necessary to minimize or eliminate the causes and to reduce the impact or prevent recurrence. Such actions fall outside the concept of “corrective action” in the sense of this definition. |
Preventative Action: | action to eliminate the cause of a potential nonconformity (3.39) |
Continual Improvement: | recurring activity to enhance performance |
To understand the sustainability performance of an organization's event activities or of a specific event, analysis must be undertaken and metric performance calculated (for example: waste, energy, transport, GHGs). Sustainability performance is however more than just calculating these types of environmentally focused and easily calculated metrics. The Global Reporting Initiative (GRI) EOSS includes many indicators across a spectrum of environmental, social and economic sustainability indicators.
Management Approach
The GRI advises the first step in sustainability performance reporting is to disclose your 'Management Approach'. Simply put, this is where you describe how you identified issues and what processes you put in place to manage them. Next is quantifiable data to prove your performance. So remember to put explanation of your approach to issues or impacts management when doing your sustainability performance report.
Requirements of this Clause:
[list type="check"]
- Determine what needs to be measured
- Devise and define the methods to be used for monitoring, measurement, analysis and evaluation
- Establish when the monitoring and measurement will be performed
- Establish when the results from the measurement will be analysed and evaluated
- When monitoring performance during the event management cycle, take action to correct any adverse trends or non-conformities
- Identify lessons learned and feed this information into future events
- Document the monitoring, measurement, analysis and evaluation process

Suggested Steps:
[list type="check"]
- Identify what needs to be measured - this should be a reflection of the identified issues and stakeholder expectations
- Establish performance indicators which would demonstrate each of these being met. This includes the analysis and evaluation of performance.
- Create and document the process which will be used to monitor performance in real time, and to measure any metrics association with performance
- Communicate the monitoring and measurement to the team and related stakeholders to ensure plans are in place to adequately monitor and measure performance and results
- Undergo the measurement and data collection
- Analyse and evaluate the results
- Compare against objectives and targets, and commitments made in Policy or other declarations
- Compile lessons learned and ensure these are fed back into event debriefs and future event planning
- Disclose performance to stakeholders
