9.2 Monitoring, measurement, analysis and evaluation

The organization shall determine:

  • what needs to be monitored and measured;
  • the methods for monitoring, measurement, analysis and evaluation, as applicable, to ensure valid results;
  • when the monitoring and measuring shall be performed;
  • when the results from monitoring and measurement shall be analysed and evaluated.

The organization shall retain appropriate documented information as evidence of the results.

The organization shall evaluate the event sustainability performance and the effectiveness of the event sustainability management system.

Additionally, the organization shall:

a) take action, when necessary, to address adverse trends or results before a nonconformity occurs;
b) include the documenting of information to track performance, relevant operational controls, conformance with the organization’s objectives and targets, and evaluation of compliance;
c) identify lessons learned from each event and feed the acquired knowledge into the planning and delivery of future events/event-related activity to improve its event sustainability performance: this information should be made available to interested parties.

Where required or practical, equipment that is provided by the organization and used for gathering data for the event sustainability management system shall be calibrated and maintained. Documents of this process shall be retained in accordance with the organization’s procedures.

REQUIREMENTS:

Clause 9.2 requires identification of what needs to be monitored and measured; the methods for monitoring, measurement, analysis and evaluation; when the monitoring and measuring shall be performed; when the results from monitoring and measurement shall be analysed and evaluated.

The calculators in the SEMS Tool are mechanism used to collect the data. You additionally need a document that describes how you will go about the data collection and interpretation. Also the tools and methodologies you use must be sound rigorous, and accurate.

EDUCATION:

To understand the sustainability performance of an organization's event activities or of a specific event, analysis must be undertaken and metric performance calculated (waste, energy, transport, water for example).

In order to track improvement you must know from where you have begun - or a 'baseline'. So establishing where you are now, identifying what actions you need to take, explaining how you put those actions in place, and what the results of those actions were, all make up part of your performance monitoring and sustainability performance report.

The GRI EOSS also includes metrics to measure against.

Beginning with the end in mind is good advice. Think about what you would want to report on, then back track to work out how you are going to address the issues so you can report on them at the end of the event.

AUDITOR INSTRUCTIONS:

  • View the process for the collection of performance measurement data.
  • Cross check all the measurement questions in the SEMS Tool and verify that adequate systems have been implemented to collect and measure data.
  • Read the report and assess if it is accurate to the results of the SEMS Tool submission. Review if it is disclosed to interested parties in full or in part to keep the communications channels flowing which is essential for continual improvement and ongoing implementation of the management system.

AUDIT OUTCOMES:

  • The organization has a process to review performance against the governing principles of sustainable development.
  • The organization prepares a comprehensive sustainability performance report which demonstrates its commitment to the management system implementation, to facilitating management review and establishing processes to embed continual improvement.
